Thus you should clean these up first.<br \/>When connecting to Exchange, you\u2019ll see the tab <strong>Local Data<\/strong>\u00a0and\u00a0<strong>Server Data<\/strong>. Only look at the\u00a0<strong>Local Data<\/strong> tab. Then the cleanup changes you make will automatically take place on the server as well.<\/li><li>After that, pick the options to <strong>Find<\/strong>\u00a0older or larger items which you can delete directly from the results to cleanup the Outlook mailbox size.<\/li><li>Depending on your archive settings (you can see the <strong>Archive Older Messages<\/strong> below), you can run an\u00a0<strong>AutoArchive<\/strong>.<\/li><li>Finally, check the size of the\u00a0<strong>Deleted Items<\/strong>\u00a0folder and\u00a0<strong>Empty<\/strong> the folder if you want.\u00a0<\/li><\/ol><\/div><\/div><\/div><\/div><\/div><\/div><\/section>\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-34b0969 elementor-widget elementor-widget-heading\" data-id=\"34b0969\" data-element_type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t<h4 class=\"elementor-heading-title elementor-size-medium\">2. Move the Messages to Your Personal Folders<\/h4>\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-cb94c84 elementor-widget elementor-widget-text-editor\" data-id=\"cb94c84\" data-element_type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t<p>If you\u2019re accessing Outlook from Exchange, you can reduce the Outlook mailbox size by moving Outlook items to your Personal Folders. However, this option may not be available to you as many organizations have moved away from supporting Personal Folders.<\/p><p>Although the messages you move to Personal Folders are no longer counted in your mailbox size, the Personal Folders file (outlook.pst) is still in your local hard drive and is not accessible remotely. Therefore, you should also back up this file. This is to prevent losing these Outlook items when the computer goes down or is updated. If you are running a standalone version of Outlook, your email, calendar, tasks, and notes are all stored in the outlook.pst file (or .ost file-offline). The file has a size limit of 50GB (Outlook 2019, 2016, 2013 &amp; 2010).<\/p>\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-8a77318 elementor-widget elementor-widget-heading\" data-id=\"8a77318\" data-element_type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t<h4 class=\"elementor-heading-title elementor-size-medium\">3. Archive Older Messages from Your Mailbox<\/h4>\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-a31cb44 elementor-widget elementor-widget-text-editor\" data-id=\"a31cb44\" data-element_type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t<section class=\"l-section wpb_row us_custom_e11ab399 height_medium for_blogpost\"><div class=\"l-section-h i-cf\"><div class=\"g-cols vc_row type_default valign_top\">Another way is to periodically archive your Outlook folders. If you are accessing Outlook from Exchange, you may not be able to change archive options. The system administrators or a third-party program are the ones to control these archives.<\/div><div class=\"g-cols vc_row type_default valign_top\">What you can do is set up your archive preferences under the <strong>Info<\/strong> &gt;<strong> Cleanup Tools<\/strong> &gt; <strong>Archive<\/strong>\u00a0option. You can create and update the archive.pst file at any location you specify, usually your local hard drive. Besides that, you can also remove the archived items from your Outlook mailbox size and move the file based on the settings you determine. Just as with the Personal Folders file, your archived items are not accessible remotely. So, you should back up the file on a regular basis.<\/div><\/div><\/section>\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-e779162 elementor-widget elementor-widget-heading\" data-id=\"e779162\" data-element_type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t<h4 class=\"elementor-heading-title elementor-size-medium\">4. Empty the Deleted Items<\/h4>\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-74af706 elementor-widget elementor-widget-text-editor\" data-id=\"74af706\" data-element_type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t<p>Other than that, you can instantly clean up your deleted items by automatically emptying the Deleted Items folder when you exit Outlook. To apply this, choose the <strong>File<\/strong> &gt; <strong>Options<\/strong> &gt; <strong>Advanced<\/strong> tab. After that, from the Outlook start and exit option, check the Empty Deleted Items folder when exiting Outlook and OK.<\/p><p>To manually clear the items in the folder, right-click the Deleted Items\u00a0folder and click\u00a0Empty Folder\u00a0on the shortcut menu (Empty \u201cDeleted Items\u201d Folder for Outlook 2010). Please note that you cannot reverse the action once you clear deleted items. So, make sure you feel confident that you want to delete a message forever. Instead of pressing the\u00a0[Delete]\u00a0key, bypass the Deleted Items folder by pressing [Shift] + [Delete] for a selected item. Then, confirm the delete process.<\/p>\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-aa4ece4 elementor-widget elementor-widget-heading\" data-id=\"aa4ece4\" data-element_type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t<h4 class=\"elementor-heading-title elementor-size-medium\">5. Depending on the email communication, one option is to save the attachment and to remove the attachment from the original message. After that, pick <strong>Other Actions &gt; Save All Attachments<\/strong>.<\/li><li>Next, locate and select the folder where you want to save the file\/ files and pick <strong>Save<\/strong>.<\/li><li>Once you have saved the attachment, you may delete the message.
